Position Summary:
The Marketing & Admissions Coordinator plays a pivotal role in managing the admission and marketing processes within their designated community while also handling administrative responsibilities. This role involves responding to inquiries from diverse sources, collecting essential information, aiding in placement decisions, and streamlining the admission process.
The Marketing & Admissions Coordinator works closely with the Director of Communications and Marketing to create and implement strategies that promote the Guardian Angels brand. This position will coordinate the production of print materials, assist in the development of multimedia marketing materials (video, email, web, social media, etc.), work with Guardian Angels teams in developing marketing materials for their unique needs, support the marketing department’s initiatives and ensure projects (including campaigns, product launches, events, and more) are well executed. This person must be willing and eager to learn new service lines and step outside of the immediate comfort zone.
Admissions Coordinator Duties:
• Primary point of contact for prospective residents and their families.
• Assess and identify suitable placement opportunities within the Guardian Angels family of services.
• Enter and maintain resident data within Eldermark program.
• Conduct follow-up activities with leads and schedule meetings with potential residents and their families. Responsibilities encompass maintaining wait lists, conducting post-admission follow-ups, and establishing communication with hospital discharge planners.
• Manage and finalize the necessary admission paperwork in collaboration with residents and their families.
• Organize and maintain resident housing files, ensuring compliance with Assisted Living regulations.
• Coordinate move in and move outs with leadership team to ensure timely turnovers.
• Support the coordination of internal room change coordination.
• Compile and oversee routine census reports.
• Lead tours of the community, emphasizing its features, services, and the quality of resident care.
• Cultivate positive working relationships with local hospitals, discharge planners, county case managers, and various referral sources.
• Maintain consistent and open communication with all departments, including the Director of Nursing and Administrator.
• Gather initial information regarding the prospective clients’ needs regarding level of services and care.
• Support office operations by handling various tasks, which may include front desk coverage, phone call management, photocopying, and other administrative duties as assigned by the Administrator.
• Represent the designated community on the Employee Wellness Committee. Assist with wellness ideas, outside community initiatives, communication of initiatives to and support participation of staff.
• Provide a dignified, respectful, resident-centered environment for residents.
• Follows universal precautions, facility infection control guidelines, sanitation and safety standards of practice in all work and activities.
• All duties will be performed in accordance with current standards, guidelines, state and federal regulations.
• Uphold confidential information as required by Guardian Angels policy and procedure and as related to HIPAA.
• Uphold the mission, vision, and values of Guardian Angels.
• Performs all other duties as assigned.
Marketing Coordinator Duties:
• Assists the Director of Communications and Marketing with special projects or events as assigned.
• Write, edit, and publish stories on our blog, newsletter, and other print publications.
• Share content on behalf of our communities and departments, and assist in capturing photos, videos, and stories as needed.
• Execute website changes and updates, upload weekly calendars and more.
• Create flyers, brochures, direct mail, labels, signage, and other marketing communication materials.
• Develop and maintain marketing materials and resources for showcasing our services, including social media postings, community flyers and digital content.
• Ensure that communities and departments have adequate supplies of brochures and other collateral.
• Brainstorm and help develop creative marketing campaigns and outreach efforts. Formulate and implement marketing strategies to enhance the local community's awareness and recognition of Guardian Angels.
• Coordinate and participate in community events, fairs, and open houses to promote Guardian Angels.
• Ensure brand consistency across all marketing materials.
Qualifications:
• AA degree or bachelor’s degree highly desired in health care administration, communication, marketing, or related field.
• Minimum of three to five years of experience in marketing/community relations or related field. Assisted living, senior housing or long-term setting a plus.
• Computer proficiency with Microsoft Office Programs. Experience with Eldermark is a plus.
• Must be a team player and focused to the mission and values of the organization.
• Excellent verbal and written (read, write) communication skills.
• Maintains good attendance and punctuality.
• Ability to work some evenings/weekend hours as needed.
